If you’re newer to the industry, you might be thinking, “Why bother?” Here’s the magic of a modern styled shoot:

  • Portfolio Juice: Show prospective clients your killer style and the kinds of events you want to book.

  • Networking on Steroids: Build relationships with other vendors (collaborators today, lead generators tomorrow).

  • Planners/designers invest hours creating the vision, mood boards, and day-of logistics (labor often isn’t a “hard cost,” but it is real effort).

  • Photographers might rent equipment or pay for film and processing.

It’s no longer realistic for one vendor to foot the bill especially when everyone is “donating” their time and often, significant resources.

Collaboration: How Modern Styled Shoots Should Work

Here’s the approach I believe in (and it’s how I run all my editorial projects now):

1. Collaborative Design (Not Dictatorship)

  • The planner/designer usually comes up with the main vision and a beautiful mood board.

  • But! Every vendor gets input. The goal is everyone gets images that actually fit their portfolio, too.

  • Make it a team thing: “What colors/styles excite you?”; “Is there a trending bouquet you really want to shoot?”

2. Transparent Hard Cost Sharing

  • After vision approval, each vendor estimates their hard costs.

    • Florist: Wholesale flower costs (not full retail no need to upcharge fellow creatives)

    • HMUAs: Share cost of product usage

    • Planners: Often time only (unless you’re bringing physical product)

    • Rental companies/Dress shops: Account for real costs (as a write-off, like dry cleaning, etc.)

  • Add up the total hard costs. For example: Let’s say it comes to $2,500.

3. Fair Contribution by All Vendors

  • All vendors split the hard costs equally.

    • 10 vendors? Each pays $250 simple math, no drama.

    • Everyone donates their time and labor. (Remember: Marketing isn’t always free.)

  • Vendors are reimbursed for hard costs with these pooled contributions.

  • No one feels “used” or left out.

Styled Shoots vs Workshops: Know the Difference

Quick wedding-industry PSA: Workshops are different from styled shoots.

  • Workshops: Photographers usually pay a ticket to attend; multiple shooting stations; more “education focused.”

  • Styled/Editorial Shoots: A team of vendors creates something for mutual portfolio and marketing benefit, with everyone contributing their real stuff (flowers, hair, gowns, etc.).

Be clear about which kind of event you’re planning (and make sure expectations are aligned...nothing kills creative energy faster than a vendor feeling blindsided by unexpected costs).
